Shopify order notifications in Telegram: what to send to a chat, what to keep in e-mail, and how to set it up in a minute
22 October 2026 · by njX
Shopify’s own order notifications are e-mails, and e-mail is where things get read tomorrow. A store with a few orders a day runs on a phone, and the phone’s chat app is where the owner, the warehouse and the person answering customers already are. Here is what a store actually needs to see within seconds, what belongs in a morning report instead, who should get which, and how to get it into Telegram without building a bot.
What needs to arrive in seconds
- A paid order, with the products, the total and a button that opens it in the admin. Not “new order”: a paid one, so the warehouse never packs an unpaid cart.
- A refund or a cancellation, the same minute, so the parcel does not leave after the customer changed their mind.
- A big order, marked as such, because a 1,200 € order on a 40 € average is either your best customer or a fraud check.
- An abandoned checkout, after a delay of your choosing, when the cart is worth a message.
What belongs in a report instead
Yesterday’s count and revenue, the refunds, the comparison with the same weekday last week: one message at the hour you start the day. Shipped, delivered and returned parcels, stock after a big order: useful, but each one as an alert is noise. The split is the whole art: seconds for what someone must act on, a morning line for what someone should know.
Who gets what
The owner wants everything. The warehouse wants paid orders and cancellations, without the prices. Accounting wants refunds and the daily report, without the customer’s address. A single group chat for all of it works for a week; after that the warehouse mutes it. The right shape is one chat per role, each with its own set of alerts and masks for what that chat must not see.
Why not build the bot
A webhook from Shopify to a Telegram bot is an afternoon of work, and then a server to keep running, a retry when Telegram is slow, a mask for customer data, translations for the team, and someone to fix it when Shopify changes the webhook. For a store, that is not the job.
Doing it in a minute
njX Order Alerts for Telegram ships with its own bot: install, press “To me”, press Start, and the next paid order is in your Telegram within seconds with a button that opens it. “To a teammate” gives a one-time invite link, “To my team’s group” adds the bot to a group you pick. Paid orders, refunds, cancellations and abandoned checkouts, a 🔥 mark over the threshold you set, a daily report at your hour, in seven languages. On Pro every recipient has its own set of alerts and two masks, prices or customer details, and the text of each alert can be rewritten. Nothing is configured on the Telegram side.
